SUMMER RESOURCE FAIR. . . IN JANUARY? EXACTLY!

Community Education staff, City Park & Recreation Program staff, plus many organizations (both youth and adult) come to the Summer Resource Fair to book summer providers, field trips and activities. This event is designed for you to present your programs to these planners in person - when they are doing their planning. We sponsor this event to help you promote the field trips, activities, entertainment, classes, camps, on-site programs, and group tours that you offer! 

If you offer fundraising to make the above opportunities a reality, this show will work for you!
The activity ideas they want to find apply to all age groups, from youth & students to active adults & seniors.

GET READY TO MEET SERIOUS BUYERS!

• Talk IN-PERSON & FACE-TO-FACE – Take time to get to know the planners & their needs!
• Offer drawings at your exhibit for free field trips and/or discounted activities or services.
• As producers of this popular event, we are NOT a booking agency. You work directly with the planners you meet.

EXPO SCHEDULE, TUESDAY, JANUARY 13, 2026

  • 7:00 a.m.-9:00 a.m. SET-UP Remember to check in first and we’ll direct you to your exhibit space.
  • 9:15 a.m. EXHIBITOR MEETING We will have announcements and offer practical suggestions for exhibitors just before the doors open
  • 10:00 a.m.-2:00 p.m. Exhibits Open (free coffee & cocoa as you talk with group planners)
  • 2:00 p.m. • End of 2026 Summer Resource Fair • Thank you for participating!
  • 2:00 p.m.- 5:00 p.m.Take Down Booths - Then time to CLIMB THE WALLS! Literally.  The Rock -Climbing walls and Archery will be open for just the vendors. This time is for networking with other businesses! Stay and join us for sodas and snacks.

2026 SRF EXHIBITOR INSTRUCTIONS:

  • LOADING & UNLOADING – Bring your materials in or out through the front entrance, you can unload quickly to drop off materials. Then move your car to one of the parking lots.
  •  ELECTRICITY is included as available and at no extra charge. Bring a 50-foot extension cord and a power strip. We will have gaffer tape to secure power cords that may have to cross walkways. You may or may not need to use your extension cord or power strip. 
  • EXHIBIT TABLE COVERING – Bring a tablecloth for your exhibit table. We might have extra tablecloths (navy blue) if needed.
  • NAME TAGS – Please bring your own.
  • COFFEE - Free (as available) for exhibitors from 8am
  • FOOD – The Kitchen is available if you would like to bring a lunch or heat up lunch. 
  • WIFI – Included at no extra charge. Get the WiFi code at the exhibitor sign-in table.
  • EXHIBITOR PRIZE DRAWINGS - Exhibitors each manage your own drawing(s), collecting contact information at your exhibit space, and contacting the winner(s)
  • TEAR DOWN is from 2-3pm at the end of the event. Please clean up your table areas. If you are able to stack you table and chairs in the designated area, that would be a great help.
  • CONFIDENTIAL ATTENDEE LIST - We will email the attendee list to the person who submitted the exhibitor registration form. It will contain the information that we have been provided by attendees.

 

CAN’T EXHIBIT THIS YEAR? DO OUR LITERATURE TABLE!

VISITOR GUIDE & BROCHURE DISTRIBUTION

Our staff will personally hand your Visitor Guide or brochure to planners at the prominently positioned EXPO LITERATURE TABLE. Provide us with at least 200 copies.
